For small trucking carriers

How fast could you pull an audit-ready DQ file right now?

Medical cards, CDLs, and MVRs all expire on their own schedule. Miss one and it's a violation at roadside or a finding at your next audit. Most carriers running 1–20 trucks track this in a spreadsheet that never quite stays current. Kada sets up a tracker that watches every date and warns you first.

Demo walkthrough — photo capture to audit packet — coming soon

How it works

You take a photo. It does the rest.

01

Snap a photo

Upload a photo of the medical card, CDL, MVR, or annual review straight from your phone. No typing rows into a spreadsheet.

02

AI reads it, you confirm

AI pulls the names, numbers, and expiry dates off the document. You get a one-screen check to confirm before anything is saved.

03

It watches the dates

Every driver, every document — flagged 60, 30, and 7 days before it expires, by text and email, to you and optionally the driver.

On demand: one click produces a current, ordered driver qualification file per driver — laid out the way an auditor asks for it under FMCSA §391.51. See the full DQ file checklist for every document it needs to hold.

Why photo-first

The reason the spreadsheet never stays current

Existing DQ tools still make you type every field by hand. That's the step that gets skipped when you're busy, and it's why the tracking falls behind. Here the owner takes a photo, AI does the data entry, and a person just checks it — about ten seconds a document instead of two minutes.

Nothing is saved on the AI's say-so. Every extracted field goes in front of you for a yes or no before it becomes a record.

Questions

We only run a few trucks — is this overkill?

No. Single owner-operators use it too. The whole point is that a small carrier doesn't have a safety manager watching dates — so the tracker is the safety manager.

What documents does it track?

The driver qualification file items: CDL, medical examiner's certificate, MVR and the annual review of driving record, road test or CDL equivalent, and the annual driver's certificate of violations. You can add other documents you want watched.

How accurate is the photo reading?

AI extracts the names, numbers, and dates off the document, but nothing is saved until you confirm it on a one-screen check. You're always the last set of eyes before a record goes in.

What if I already use a TMS or ELD provider?

This sits alongside it. It's focused only on driver qualification files and expiry tracking — not dispatch, not hours-of-service.

Is my data secure?

Documents are stored encrypted and are only accessible from your account.
